Shopify invoices need sequential numbers when the rules for that invoice require them. A full EU VAT invoice needs a unique sequential number. That does not make every Shopify order number an invoice number, or every sale subject to the same rule. Check the transaction and your national requirements before choosing the sequence.

When does an invoice need a sequential number?

A full EU VAT invoice needs a number that uniquely identifies it within one or more sequential series. The European Commission’s VAT invoicing guide lists that number among the required details.

The rule is narrower than “every Shopify sale needs a sequential invoice.” The common EU rules distinguish full and simplified invoices, and Member States can apply national requirements. Sales outside the EU follow the rules that apply where the merchant accounts for the transaction.

Is a Shopify order number the same as an invoice number?

No. A Shopify order number identifies an order. An invoice number identifies an invoice. You can choose to print the order reference as the invoice number only when that method meets the rules and accounting practice that apply to your business.

Shopify starts order IDs at 1001 and increments them by one. You can add a prefix or suffix in the store’s general settings. Shopify also describes the underlying order_number as unique within the shop.

That makes the order reference useful, but it does not answer every invoice question. One order can lead to a later correction or another document type. Your invoice process may also need a series that stays separate from orders, packing slips, and credit notes.

Keep both references when they serve different jobs. Put the invoice number in the invoice-number field. Keep the Shopify order reference on the document so staff can trace the invoice back to the order.

Can an invoice number use a prefix or more than one series?

Yes, under the EU baseline. Article 226 of the VAT Directive allows one or more sequential series. The European Commission’s explanatory notes say those series may contain letters and numbers.

A merchant might use a prefix to distinguish a document type or business unit. For example, INV-2026-0042 is easier to identify than 42. The prefix does not replace the sequence. The complete value still needs to identify one invoice within the series.

The explanatory notes also allow separate series for cases such as branches, types of supply, customers, self-billing, or invoices issued by a third party. Do not add extra series merely to make the format look organized. Each series creates another record that your accounting process must explain.

What should you decide before issuing the first invoice?

Set the numbering policy before invoices begin to generate.

  • Confirm which sales need full invoices, simplified invoices, or no invoice under the rules that apply to the store.
  • Decide whether the Shopify order reference is acceptable or whether invoices need their own sequence.
  • Choose any prefix, starting number, and padding.
  • Decide whether a new year, branch, or document type uses another series.
  • Write down how staff handle voided invoices, corrections, and credit notes without reusing an existing invoice number.

Ask your accountant or national tax authority to approve that policy. The EU baseline permits more than one series, but national rules and the transaction can change what you need to keep or report.

How does Docket number Shopify invoices?
